SUMMARY

Under the supervision of theCEO & President, this position serves as a point of contact for internal and external constituencies on matters pertaining to the CEO & President. With support from thePresident’s Office and other programs, this position assists the CEO & President by providing executive support, managing external relationships and internal coordination by/for organizing meetings and events, and providing other services as assigned.

ESSENTIAL DUTIES & RESPONSIBILITIES

Executive Support

  • Assist CEO & President to draft and compile messages,correspondence, speeches, presentations, and talking points, communicate insights and recommendations at all kinds of meetings, workshops, and conferences;
  • Collect relevant information and conduct research on various topics upon request by CEO & President’s responsibilities, synthesize key findings and provide suggestions to CEO & President;
  • Serve as a secretary to develop the draft agenda, take notes of key conclusions and ensure to inform/communicate to relevant stakeholders for follow-up for the Management Team Meeting.  
  • Supervise Executive Assistant to the President to provide administrative support, including managing schedule of CEO & President efficiently, prioritizing various meeting requests, compiling to-do list and following up, managing travel logistics, etc., to harmonize the CEO & President’s internal and external priorities and obligations;
  • Safe keep and manage office seals, ensuring proper internal control;
  • Provide other administrative support to CEO & President as needed.

External Relationships

  • Support CEO & President to manage high-level relationships, engage, communicate and convene key stakeholders, e.g., policymakers, experts, peer NGOs, and funders, build and maintain trust and relationships with partners for better collaboration;
  • Actively engage existing partners in the cultivation and engagement of potential partners to build resources for EFC and the field;
  • Take a lead and coordinate resources to establish the Memorandum Of Understanding (MOU) with key partners.

Meetings and Events Management

  • Take a lead to organize office-wide events and meetings, e.g., funder related meetings, coordinating with different programs and taskforces for meeting agenda, invitation, etc.;
  • Assist CEO & President on board related matters, e.g., arranging meetings with board members, and preparing agenda, etc.;
  • Provide support to internal meetings, e.g., bi-weekly staff meeting, weekly management team meeting.

General Management

  • Provide managerial supervision and demonstrate leadership on talent selection, on-the-job coaching, training, professional development and performance management to team members;
  • Communicate, coordinate with and support the Director of Projects in the President Office to ensure a smooth and coordinative grant-making launched by the President Office.
  • Foster team spirit and a learning atmosphere within the team;
  • Budget and manage G&A expenses for the President Office;  
  • Undertake additional tasks and responsibilities as assigned by CEO & President;
  • Back up other colleagues as needed.

REQUIRED KNOWLEDGE, SKILLS & ABILITIES

  • Education: Master’s degree or equivalent, preferably in a related field: environment, energy, climate change, and economics; Deep interest in climate change and energy.
  • Working Experience: Over 10 years of related working experience in one or two of the areas of economics, energy, environment, and climate change. Joint experiences in the above areas and executive support are preferred.
  • Language Level: Chinese native speaker; excellent command of spoken and written English, communicates in English effectively in public, with a deep understanding of western cultures.
  • Communication and Coordination Skills: communicates logically and articulates key messages/points with a clear structure, listens actively, is able to sense and take care of audience’s emotion and unspoken views, finds interactions for all parties to achieve win-win, and presents audience’s benefits clearly, synthesizes different views to develop integrated messages.
  • Problem Solving: is able to define and prioritize key issues, make analysis with logical reasoning, utilize and synergize various resources to summarize and find solutions, determine the best solution in a holistic approach.
  • Strategic Thinking: the ability to understand the field landscape and is able to anticipate the future scenarios with big-picture thinking, be able to prioritize and make trade-offs based on possible resources.
  • Team Leadership: is able to set up a team and assign work effectively, motivate team members and treat team members with fairness, provide timely constructive criticism to team members and support them for long-term career development.
  • Networking: ability to develop new alliances and formal networks, mobilize external resources and foster relationships with key stakeholders to achieve long-term mutual interest.
