Energy Foundation China (EF China) is looking for a detail-oriented project coordinator to join the Strategic Partnerships (SP) team. The Program Manager will support a variety of operations, communications, logistics, and other projects and assignments related to the engagement, cultivation, and solicitation of existing and prospective funders. Using strong organizational, administrative, and communications skills, the person in this position is expected to help manage SP’s processes, systems, and operations, as well as compile information to inform strategy. Partnership across teams, particularly Programs, Finance, and Operations, is essential as is working with said teams to establish priorities, set goals, and track outcomes. 


  • Support development—including compilation, formatting, and submission—of funding proposal and report packages in collaboration with SP and Program colleagues.  
  • Manage processing of incoming grant agreements. 
  • Design and operate administrative systems and procedures to track, record, report, acknowledge, and recognize contributions. 
  • Systematically track due dates for funding proposals and reports. 
  • Liaise with Program and Finance teams to ensure revenue data in the Program budget is up to date and revenue is accurately reflected in the grants database, and occasionally check spending against targets. 
  • Serve as the first point of contact for internal staff and external funders on operational questions related to grant awards. As necessary, coordinate with SP, Program, and/or Operations teams to provide guidance.  
  • Manage outside counsel to ensure EF China maintains organizational filings for U.S. charitable solicitations’ state registration. Organize and maintain related documentation.  
  • Support logistics, planning, and other arrangements for funder-related meetings and events, especially funder visits to China. 
  • Help organize key funder events, briefings, forums, and meetings by creating invitation lists, drafting invitations, scheduling support, and tracking RSVPs. 
  • Manage EF China’s primary listserve for partner communications. 
  • Take meeting notes, including as needed at EF China Board of Directors meetings.  
  • Support preparation and assembly of board dockets. 
  • Support internal file management and organization. 
  • Support internal process improvements and efficiencies.  
  • Track major news developments related to China’s decarbonization to inform internal strategy and communications discussions.  
  • Participate in all-staff and program-specific meetings as needed to track developments and provide support.  


  • Chinese language (Mandarin) ability is mandatory.  
  • Significant years of relevant work experience; experience in operations in a nonprofit, foundation, or business setting a plus. 
  • Experience working on multiple projects simultaneously with diverse stakeholders and managing multiple priorities. 
  • Self-starter who can independently manage projects and take initiative. 
  • Strong organizational and administrative skills. 
  • Excellent oral and written communications skills. 
  • Knowledge of climate change/clean energy issues is a plus.  
  • Experience working internationally is a plus.  
  • Chinese language (Mandarin) ability is mandatory. 
  • Location is flexible, but must be prepared to accommodate regular calls with China and U.S. Pacific Standard time zones. 
  • Technical skills: experience using Microsoft Excel, Word, PowerPoint, and Outlook, preferably in a Mac environment; familiarity with Google Drive, Docs, and Sheets; familiarity with Fluxx and CRM systems / software is a plus.

The person in this role can work anywhere in the U.S.

The office environments include some shared workspace, some individual offices, shared kitchen facilities, with moderate noise levels and a collegial atmosphere. On occasion, there are activities or events after work hours.
